Funding Queue Help Guide

Everything the processing team needs to know about the funding queue, invoicing, and admin tools.

My Queue (New)

Your personal work dashboard. Shows only items assigned to you, sorted by urgency.

How to Use It

  1. Open the Funding Queue page
  2. Click the “My Queue” tab at the top (next to “All Items”)
  3. Your items are sorted by SLA urgency: red (overdue) first, then yellow (approaching), then green (on track)
  4. The stats cards show YOUR numbers: My Active, Approaching SLA, Overdue, Completed Today

Pull Next

When you need more work:
  1. Click the “Pull Next” button in the My Queue header
  2. The system automatically claims the most urgent unclaimed item for you
  3. You’ll see a toast confirmation with the contact name
  4. The item now appears in your queue

Tips

  • Start each day on the My Queue tab to see what needs attention first
  • Red SLA items should be worked immediately
  • The tab selection persists in the URL so you can bookmark it

Operator Invoices (Read Only)

Use the Operator Invoices tab to review invoice status, balances, and payment history. This screen does not collect payments or write off balances.

Review an Invoice

  1. Go to the Invoices page (/admin/internal/invoices)
  2. Leave the Operator Invoices tab selected
  3. Find the invoice you want to review
  4. Check the row details:
    • Total: Original invoice amount
    • Balance: Remaining unpaid amount
    • Status: Draft, Sent, Viewed, Partial, Paid, Overdue, Written Off, or Failed
    • Date Info: Due date, paid date, or created date depending on status
    • Created By: Team member who generated the invoice
  5. Use the status filter to narrow the list when needed

Payment History

View all payments recorded against an invoice.
  1. On the Invoices page, click the dropdown menu (three dots) on any invoice
  2. Select “View Payments”
  3. See the full payment timeline: date, amount, method, who recorded it, running balance
  4. The top shows total paid vs total due

AR Dashboard (New)

The Accounts Receivable dashboard shows the financial health of your invoicing at a glance.

Stats Cards

  • Total Outstanding: Dollar amount owed across all open invoices
  • Collected This Month: Payments received in the current month
  • Overdue Count: Number of invoices past their due date
  • Avg Days Outstanding: Average age of unpaid invoices

Aging Chart

Color-coded bar chart showing how old unpaid invoices are:
  • Green (0-30 days): Current, within payment terms
  • Amber (31-60 days): Getting old, may need a reminder
  • Red (60+ days): Significantly overdue, needs escalation

Per-Operator Table

Shows each operator’s invoicing status:
  • Outstanding balance
  • Number of invoices
  • Collected this month
  • Overdue count
Click “Export CSV” to download the data for reporting.

Activity Timeline (New)

Every contact now has a unified activity timeline showing all actions taken.

Where to Find It

  1. Click into any contact from the funding queue
  2. Click the “Activity” tab

What It Shows

  • Submission created
  • Status changes (with timestamps)
  • Who claimed/unclaimed the contact
  • Funding plans created and updated
  • Invoices sent
  • Payments recorded
Color coding:
  • Blue dots: Submission events
  • Gold dots: Funding plan events
  • Green dots: Invoice and payment events

Tips

  • Use the timeline during handoffs to quickly see what’s been done
  • Shows the last 10 events by default. Click “Show all” for the full history

Auto-Assign (Admin Only)

New submissions can be automatically assigned to processors based on workload.

How It Works

  1. When a new submission arrives, the system checks if auto-assign is enabled
  2. If enabled, it finds the processor with the fewest active items
  3. If there’s a tie, it picks whoever was assigned least recently (round-robin)
  4. The submission is automatically claimed for that processor

Managing the Team

  1. Click the “Team” button in the funding queue header
  2. In the panel you can:
    • Add a processor: Enter their user ID, name, and email
    • Toggle active/inactive: Processors marked inactive won’t receive auto-assignments
    • Set max load: Limit how many items a processor can have at once
    • Toggle auto-assign: Turn the whole system on/off
  3. The panel shows each processor’s current load

Manual Override

Auto-assign doesn’t prevent manual claims. Processors can still:
  • Click “Claim” on any unassigned item
  • Use “Pull Next” in My Queue
  • Reassign items to other processors

Admin: View as Operator (New)

See exactly what an operator sees for any location.

How to Use

  1. Go to Admin > Locations
  2. Click into any location
  3. Click the “View as Operator” button (eye icon, amber/gold)
  4. You’ll be taken to the operator’s dashboard view for that location
  5. An amber banner at the top shows “Admin Mode: Viewing [Location Name]”
  6. Click “Exit” in the banner to return to the admin panel

What You Can See

  • Their dashboard
  • Their applicants and clients
  • Their credit reports
  • Their reports and settings
  • Everything scoped to that location’s data

Demo Mode (New)

Hide personal information during screen sharing and funding review calls.

How to Toggle

  • Keyboard shortcut: Cmd+Shift+D (Mac) or Ctrl+Shift+D (Windows)
  • Or: Click the Demo Mode toggle in the admin header
When active, you’ll see an amber “DEMO” badge in the header.

What Gets Masked

Spotlight

During a review call, you often need to discuss one specific client:
  1. In Demo Mode, click “Spotlight” on the contact row
  2. That one contact’s data is unmasked (gold border glow)
  3. All other contacts stay masked
  4. Only one contact can be spotlighted at a time
  5. Click “Hide” to re-mask them

Global Search (New)

Find any contact across all locations instantly.

How to Use

  • Keyboard shortcut: Cmd+K (Mac) or Ctrl+K (Windows)
  • Or: Click the search icon in the admin header
  • Type a name, email, or invoice number
  • Results are grouped by location
  • Click a result to jump to that contact
  • Contact names (first, last, full)
  • Contact emails
  • Invoice numbers
  • Results show: name, status, location, last activity
