Scribe Walkthrough Outlines

Use these outlines to create Scribe step-by-step guides for the processing team. Open Scribe, hit Record, and follow the steps below.

Scribe 1: How to Claim and Process a Funding Plan

Title: SOP: Claiming and Processing a Funding Plan Description: Step-by-step guide for processors to claim work from the queue and begin processing.

Steps to Record:

  1. Navigate to Funding Queue
    • URL: /admin/internal/funding-queue
    • Show the main queue interface
  2. Identify Unassigned Work
    • Point to the “Unassigned” stat card
    • Show how unassigned rows look (no processor name)
  3. Check SLA Status
    • Point to the color indicator (green/yellow/red)
    • Explain: “Yellow means 2-3 days. Prioritize these.”
  4. Claim a Contact
    • Click the “Claim” button on an unassigned row
    • Show your name appearing on the row
    • Explain: “This is now your responsibility”
  5. Open the Contact
    • Click the contact name to open their detail page
    • Show the funding plans, credit info, and status
  6. Update Status
    • Change status from “Plan Needed” to “In Progress”
    • Add any notes about what you’re working on

Scribe 2: Using My Queue (NEW)

Title: How to Use My Queue Description: Your personal dashboard showing only your claimed items sorted by urgency.

Steps to Record:

  1. Open the Funding Queue
    • Navigate to /admin/internal/funding-queue
  2. Click the My Queue Tab
    • Click “My Queue” tab (next to “All Items”)
    • Show that it filters to only your items
  3. Review Your Stats
    • Point to the 4 stat cards: My Active, Approaching SLA, Overdue, Completed Today
    • Explain: “These are YOUR numbers, not the whole team’s”
  4. Notice the SLA Sorting
    • Point to items sorted red first, then yellow, then green
    • Explain: “Work top to bottom. Red items are overdue.”
  5. Use Pull Next
    • Click the “Pull Next” button
    • Show the toast confirmation with the contact name
    • Explain: “This grabs the most urgent unclaimed item”
  6. Bookmark It
    • Show the URL has ?tab=my-queue
    • Explain: “Bookmark this URL to always land on your queue”

Scribe 3: Reviewing Operator Invoices (NEW)

Title: How to Review Operator Invoices Description: Review operator invoice balances and payment history without collecting payment from this screen.

Steps to Record:

  1. Go to Invoices
    • Navigate to /admin/internal/invoices
    • Show the Operator Invoices tab
  2. Find the Invoice
    • Use the status filter to narrow the list
    • Point to the invoice you want to review
  3. Review the Row Details
    • Show the total, balance, status, date info, and created-by columns
    • Explain that this tab is read-only
  4. Open the Actions Menu
    • Click the three-dot menu on the invoice row
  5. View Payment History
    • Click “View Payments”
    • Show the payment history panel opening
  6. Review the History
    • Point to the payment entries, running balance, and totals

Scribe 4: Viewing Payment History (NEW)

Title: How to View Payment History for an Invoice Description: See all payments recorded against an invoice.

Steps to Record:

  1. Go to Invoices
    • Navigate to the invoices page
  2. Open the Dropdown Menu
    • Click the three-dot menu on any invoice
  3. Select View Payments
    • Click “View Payments”
    • Show the payment history panel
  4. Review the Timeline
    • Point to each payment entry: date, amount, method, who recorded it
    • Show the running balance
    • Show total paid vs total due at the top

Scribe 5: Using the AR Dashboard (NEW)

Title: Understanding the AR Dashboard Description: Monitor accounts receivable with the aging report and per-operator breakdown.

Steps to Record:

  1. Go to Invoices
    • Navigate to the invoices page
    • Show the AR Dashboard section at the top
  2. Review Stats Cards
    • Point to Total Outstanding, Collected This Month, Overdue Count, Avg Days
    • Explain what each means
  3. Read the Aging Chart
    • Point to the green bar (0-30 days, current)
    • Point to the amber bar (31-60 days, needs attention)
    • Point to the red bar (60+ days, escalate)
  4. Review Per-Operator Table
    • Show operator names, outstanding amounts, overdue counts
    • Explain: “Operators with red highlights have overdue invoices”
  5. Export CSV
    • Click “Export CSV” button
    • Show the downloaded file

Scribe 6: Managing the Processing Team (NEW)

Title: How to Manage Processors and Auto-Assign Description: Add/remove processors, set workload limits, and toggle auto-assignment.

Steps to Record:

  1. Open the Team Panel
    • On the Funding Queue page, click the “Team” button in the header
    • Show the slide-out panel
  2. Toggle Auto-Assign
    • Show the Auto-Assign toggle switch
    • Turn it on
    • Explain: “New submissions will now be automatically assigned”
  3. Add a Processor
    • Click “Add Processor”
    • Enter User ID, Name, Email
    • Set Max Load (e.g., 10)
    • Click Add
  4. Manage a Processor
    • Toggle a processor’s Active status off/on
    • Change their Max Load
    • Explain: “Inactive processors won’t receive auto-assignments”
  5. View Current Distribution
    • Point to each processor’s current load count
    • Explain: “Auto-assign gives work to whoever has the least items”

Scribe 7: Using Demo Mode for Review Calls (NEW)

Title: How to Use Demo Mode During Funding Review Calls Description: Hide client PII during screen sharing.

Steps to Record:

  1. Activate Demo Mode
    • Press Cmd+Shift+D (or click the toggle in the header)
    • Show the “DEMO” badge appearing
  2. Show Masked Data
    • Navigate to the Funding Queue
    • Point to masked names (fake names instead of real)
    • Explain: “All personal info is hidden for screen sharing”
  3. Spotlight a Client
    • Click “Spotlight” on the row you want to discuss
    • Show the gold border and unmasked data
    • Explain: “Only this client’s data is visible now”
  4. Navigate While Masked
    • Click into the contact detail page
    • Show masked email, phone, credit score
    • Explain: “Masking works across all pages”
  5. Deactivate Demo Mode
    • Press Cmd+Shift+D again
    • Show all data returning to normal

Scribe 8: View as Operator (Admin) (NEW)

Title: How to View a Location as the Operator Description: See exactly what an operator sees for troubleshooting and auditing.

Steps to Record:

  1. Go to Admin Locations
    • Navigate to Admin > Locations
    • Click into any location
  2. Click View as Operator
    • Click the “View as Operator” button (eye icon)
    • Show the amber banner appearing: “Admin Mode: Viewing [Name]”
  3. Browse as the Operator
    • Show the dashboard scoped to that location
    • Navigate to applicants, clients, credit reports
    • Explain: “This is exactly what the operator sees”
  4. Exit Impersonation
    • Click “Exit” in the amber banner
    • Show returning to the admin panel

Scribe 9: Global Search (NEW)

Title: How to Search Contacts Across All Locations Description: Find any contact instantly with Cmd+K.

Steps to Record:

  1. Open Global Search
    • Press Cmd+K (or click the search icon in the header)
    • Show the search dialog opening
  2. Search by Name
    • Type a contact name
    • Show results grouped by location
    • Point to status badges and relative timestamps
  3. Jump to Contact
    • Click a search result
    • Show it navigating to the contact detail page with the right location context
  4. Search by Invoice Number
    • Open search again (Cmd+K)
    • Type an invoice number
    • Show the matching result

Recording Tips

  • Keep it clean: Close unnecessary tabs before recording
  • Go slow: Pause briefly on each screen so Scribe captures clear screenshots
  • Use demo mode: For any Scribes showing client data, activate Demo Mode first (Cmd+Shift+D)
  • Name your Scribes: Use the titles above for consistency
  • Share via link: Scribe generates shareable links. Post them in the team Slack channel.
